This notice explains the limited information the Foundation website receives and how it is handled.

Information, consent, and care

Information we receive

When you use the contact form, we receive the name, email address, subject, and message you choose to provide. When you register for a ceremony, we may also receive your optional mobile or WhatsApp number, country, Sankalpa or sacred intention, other names you ask us to include, ceremony consent, optional future-communications consent and, where online Dana is enabled, the GBP amount and payment status. If you choose to provide them, we also receive your date of birth, local birth time, whether that time is approximate, and birthplace. You may instead tell us that these details are unavailable. Please do not include unnecessary sensitive information or another person's private information without permission.

How ceremony information is used

Ceremony information is used to process participation, communicate practical ceremony information, and provide submitted names and intentions privately to the authorized people preparing the collective prayers. When provided, a birth date, exact local birth time and birthplace help the ceremony team identify the participant's individual Jyotish reference and connect the Sankalpa with greater precision during ritual preparation. A mobile or WhatsApp number is used for essential ceremony communication unless separate future-communications consent is given. Choosing to hear about future ceremonies and teachings is separate and optional; it is never pre-selected.

Payments and service providers

Where online Dana is enabled, payment is handled by Stripe under its own privacy terms. Stripe receives the information needed to process the payment, but the Foundation does not send the text of your Sankalpa or the other prayer names to Stripe. If you enter information directly into an optional field on Stripe, Stripe processes that information under its own privacy terms. Essential hosting, email, security, and payment providers may process limited information only as needed to provide those services.

Cookies and security

The public website does not use advertising cookies. Essential session cookies and limited technical records may be used for form security, the private administration area, fraud prevention, and protection from abuse. External services such as YouTube, WhatsApp, and Spotify apply their own privacy terms after you follow their links.

Sharing, protection, and retention

We do not sell personal information or publish submitted Sankalpas. Ceremony details, including any mobile number and birth information, are stored in encrypted form where the website retains them and are disclosed only to authorized ceremony organizers, service providers acting for the Foundation, or where reasonably needed to comply with law or protect people and systems. Ceremony submissions are retained only as long as reasonably needed for preparation, communication, responsible records, dispute handling, and applicable legal obligations; payment and accounting records may require longer retention. The ceremony system normally removes prayer-only records and removes personal ceremony details from Dana records after the configured retention period, which is 90 days unless a different period is required and configured.

Shambhala Sanctum applications

When you apply to join the Shambhala Sanctum, we receive the name, email address, WhatsApp number, country or region, interests, application response, and consent choices you provide. We use this information to review the application, contact you privately about the outcome, administer the community, and protect it from spam or misuse. Applications are delivered to the Foundation by email and retained only as long as reasonably needed for review, community administration, safety, and responsible records.

If you are invited, participation takes place through WhatsApp, which is operated by Meta and applies its own privacy terms. Your telephone number, profile information, and activity may be visible to other community participants according to WhatsApp's features and your settings. The public website does not publish the private community invitation link.

Your choices

You may ask what personal information we hold about you, request correction or deletion where applicable, or withdraw from optional future communications by contacting the Foundation. Some records may need to be retained where law or legitimate administrative requirements apply.

Cosmic Circle applications and personalization

When you apply to the Cosmic Circle, we receive the name, email address, WhatsApp number, country or region, application response, and the confirmations contained in the application agreement. The application also requires your birth date, birthplace, and a statement that your birth time is exact, approximate, or unknown. If your birth time is known, you are asked to provide it. These details must be your own and are used by the Foundation owner to prepare a private Jyotish reference and support chart-aware teaching and communication.

The website stores Cosmic Circle application information in encrypted form. Access is restricted to the Foundation owner account. Operational email alerts contain only a private record reference and do not include the applicant's birth details or application response. If chart references are prepared, the owner can retain the derived Moon sign and ascendant while erasing the raw birth date, time, and place. Applications that have not begun a pending or active subscription are automatically deleted after 365 days without an update, or the shorter lawful period configured by the Foundation. The owner may erase raw birth details or permanently delete an application sooner on request.

Submitting the single application agreement confirms that the applicant is at least 18, permits application contact by email or WhatsApp, acknowledges the private use of their birth details for the stated Jyotish purpose, and accepts the conduct, privacy, and application terms shown before submission. Applying does not begin a subscription or send information to Stripe. If an applicant is approved and later chooses to join, payment will be handled through a separate secure checkout under the payment provider's own privacy terms. WhatsApp is operated by Meta and applies its own privacy terms after a private community invitation is accepted. Applicants may contact the Foundation to request appropriate access, correction, or deletion. If required Jyotish processing is withdrawn before review is complete, the application cannot proceed.

Embedded music playback

The Music & Meditations page displays release information without loading a third-party video player. When a visitor chooses “Play here,” the website creates a YouTube privacy-enhanced embed from youtube-nocookie.com. At that point, YouTube and Google may receive technical information such as the visitor's IP address, browser and device information, referring page, and playback activity, and may use browser storage or cookies under their own privacy terms. The website does not contact the embedded YouTube player before a visitor chooses a release. Opening a release directly on YouTube is also subject to YouTube and Google's privacy terms.
